Office Manager

Our client, a leading premium fuel company operating in Zimbabwe, is seeking a highly capable and proactive Office Manager to ensure the seamless operation of their corporate office. This role requires a strategic thinker with exceptional organizational skills, capable of managing administrative functions while supporting executive leadership in a high-performance environment. The successful candidate will uphold the company’s reputation for excellence and professionalism.

Key Responsibilities:

  • Oversee all daily office operations, ensuring efficiency, compliance, and adherence to company policies.
  • Supervise, mentor, and coordinate administrative staff, fostering a productive and professional office culture.
  • Act as the primary point of contact between senior management, internal teams, and external stakeholders.
  • Maintain and optimize office systems, including document management, filing, and archiving.
  • Coordinate travel arrangements, schedules, meetings, and events for senior management.
  • Manage office procurement, contracts, and vendor relationships, ensuring cost-effectiveness and service quality.
  • Prepare reports, presentations, and correspondence for senior management, maintaining high standards of accuracy and professionalism.
  • Support budgeting, financial administration, and monitoring of office expenditures.
  • Ensure workplace safety, compliance with statutory regulations, and adherence to health and safety standards.
  • Contribute to the development and implementation of office policies and standard operating procedures.

 

Minimum Requirements:

  • Proven experience (10+ years) as an Office Manager or in a senior administrative role, preferably in the energy, fuel, or corporate services sector.
  • Bachelor’s degree or diploma in Business Administration, Management, or a related field; relevant professional certifications are an advantage.
  • Strong leadership and team management skills, with experience in supervising office staff.
  • Excellent organizational, planning, and multitasking abilities.
  • Exceptional written and verbal communication skills, with a high level of professionalism.
  • Proficiency in Microsoft Office Suite, office management software, and digital collaboration tools.
  • Demonstrated ability to maintain confidentiality and exercise discretion with sensitive information.
  • Strong problem-solving skills, attention to detail, and ability to work under pressure in a fast-paced environment.
  • Knowledge of Zimbabwean regulatory requirements and office compliance standards is preferred.
