Dispatch and Logistics Manager

Reports To: Procurement and Operations Executive

We are seeking a highly organized and proactive Dispatch and Logistics Manager to oversee the coordination of deliveries, fleet operations, and supply planning. This role is pivotal in ensuring the timely and efficient supply of goods to both internal and external customers, while maintaining visibility over stock levels and aligning weekly logistics plans with operational needs.

Key Responsibilities:

Order Management & Internal Coordination

  • Review and validate internal customer orders for completeness, accuracy, and feasibility.
  • Liaise with Production and Cold Chain departments to resolve discrepancies and ensure readiness for dispatch.
  • Prioritize and schedule deliveries based on urgency, availability, and customer requirements.

Stock Monitoring & Weekly Planning

  • Monitor available stock levels at the factory and shops to ensure alignment with dispatch schedules.
  • Collaborate with sales, production, and inventory teams to forecast and plan weekly supply requirements.
  • Flag potential stock shortages and coordinate replenishment strategies to avoid delivery disruptions.

Dispatch & Delivery Oversight

  • Manage daily dispatch operations to ensure timely and accurate deliveries.
  • Monitor delivery routes and optimize for cost-efficiency and speed.
  • Address delivery delays or issues and compile daily “Regrets Reports” for circulation to stakeholders.

Fleet Management

  • Oversee tracking of the company fleet using GPS and telematics systems.
  • Monitor vehicle maintenance schedules and ensure timely servicing to prevent downtime.
  • Track and report fuel consumption, driver performance, and vehicle utilization metrics.
  • Reporting & Compliance
  • Compile and distribute regular logistics performance reports, including delivery success rates, regrets, fuel usage, and fleet health.
  • Ensure compliance with transport regulations, safety standards, and internal policies.
  • Maintain accurate records of dispatch activities, vehicle logs, and maintenance history.

Qualifications & Skills:

  • Diploma or Degree in Logistics, Supply Chain Management, or related field.
  • Minimum 3–5 years of experience in dispatch, logistics, or fleet coordination.
  • Strong analytical skills with attention to detail in reviewing orders and compiling reports.
  • Proficiency in logistics software, fleet tracking systems, and Microsoft Excel.
  • Excellent communication and interpersonal skills for cross-functional coordination.
  • Ability to work under pressure and manage multiple priorities.
