Maintenance Team: Administrator/Office Coordinator
Job Title: Administrator/Office Coordinator

Job Summary:
The Administrator/Office Coordinator role serves as a key administrative and operational support within the Maintenance Department, acting as the first point of contact for visitors and stakeholders while assisting with a wide range of tasks, including office coordination, vendor management, travel arrangements, maintenance planning, and marketing support.
Key Responsibilities:
- Being an important first point of contact for customers, service providers, employees, and other stakeholders visiting the office (Greeting, welcoming, and directing them appropriately)
- Assist and support the Maintenance Operations Manager and the Logistics Manager with daily administrative tasks, ensuring the smooth running of the department and all associated facilities.
- Maintaining and ordering office supplies and consumables (water, tea, coffee, stationery, office equipment, etc).
- Process team petty cash, travel claims, and office expenses.
- Vendor relationship management (liaising with suppliers and service providers as needed)
- Act as backup support for the Spares/Parts Manager as required (Client liaison and preparing quotations)
- Receive deliveries and arrange couriers on behalf of the team.
- Assisting team members with a variety of administrative tasks, including copying, faxing, note-taking, meeting minutes and other ad hoc admin duties
- Perform diary and travel management tasks for the Maintenance Operations Manager and other team members (e.g., Processing visa applications, liaising with the Group Travel Coordinator to book flights, accommodation, and car hire).
- Process S&T & Credit Card recons for traveling team members.
- Assist the Maintenance Operations Manager with maintenance tracking and planning (Maintenance scheduling)
- Assist with AMO/CAMO services (Work Pack prep)
- Deal with SACAA and prepare the required documentation and correspondence.
- Manage and update information within relevant client directories, databases, and CRMs.
- Assist with any AMO/Maintenance marketing and promotional initiatives/events.
- Order and manage departmental marketing merchandise and team uniforms.
- Assist with the development of departmental content for social media campaigns.
- Assist and provide back-up for AAFA Office Co-ordinator as required.
Education & Experience:
- Min 1-2 years’ experience in a similar role (essential)
- Operational experience in the Aviation industry, AMO or a Flight School environment (advantageous)
- Bilingual – Fluent in English and Afrikaans (advantageous)
- Valid driver’s license and own vehicle (essential)
- Excellent interpersonal/communication skills (written and verbal)
- Proficient skills in Microsoft & Google suites
- Ability to work autonomously and complete tasks with little instruction
- Team player – a nothing too big, nothing too small attitude!
- Organized and efficient with the ability to remain calm and professional under pressure.
Physical & Work Environment Requirements:
- Ability to lift heavy objects and perform physical tasks in a warehouse setting.
- May require weekend or after-hours support in response to urgent aviation demands.
