Our client in Lusaka is looking for a Personal Assistant to provide comprehensive administrative support to the Head of School in our educational institution.

As the Personal Assistant, you will play a crucial role in ensuring the smooth operation of the Head’s office and assisting with various administrative tasks to facilitate the efficient management of the school.

Responsibilities:

  • Manage the Head of School’s calendar, including scheduling appointments, meetings, and events.
  • Screen and prioritize incoming correspondence, including emails, phone calls, and mail, and respond or redirect as appropriate.
  • Prepare and edit correspondence, reports, presentations, and other documents on behalf of the Head of School.
  • Coordinate travel arrangements and accommodations for the Head of School, including flights, hotel reservations, and transportation.
  • Organize and maintain records, files, and documents, both in physical and electronic formats, ensuring confidentiality and accuracy.
  • Assist with the preparation and distribution of agendas, minutes, and other materials for meetings attended by the Head of School.
  • Serve as a liaison between the Head of School and staff, students, parents, board members, and external stakeholders, conveying messages and information as needed.
  • Coordinate special projects and initiatives as assigned by the Head of School, including research, data analysis, and presentations.
  • Manage expenses and budget tracking for the Head of School’s office, including processing reimbursements and maintaining financial records.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Provide administrative support to other members of the school leadership team as required.

Qualifications:

  • Bachelor’s degree in Business Administration, Education, or a related field preferred.
  • Proven experience in a similar administrative role, preferably supporting senior executives or academic leaders.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Strong written and verbal communication skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office productivity software.
  • Discretion and professionalism when dealing with confidential information and sensitive matters.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility and adaptability to meet the changing needs of the school environment.
  • Positive attitude, proactive approach, and willingness to take on new challenges.
